Urban Learning are working with a secondary school in Camden who are seeking a PA to start from September for 1 year.
Provision of comprehensive administrative, secretarial and clerical support to the Headteacher and Governing Body.
You must have substantial experience of PA work at Headteacher or director level
Manage the headteacher’s diary, balancing priorities to ensure that appointments and meetings are arranged as required and maintaining an up to date electronic record.
Receive visitors and handle incoming telephone calls to the Headteacher, ensuring that urgent issues are dealt with promptly by the appropriate member of staff and that sensitive and confidential matters are handled with discretion at all times.
Act as first point of contact for complaints, ensuring that these are handled in accordance with the school’s complaints procedure, that complainants receive prompt acknowledgement and that a central record is kept including of action taken.
Liaise with teaching and support staff at all levels within the school and with parents, other schools, Camden LA and outside agencies as required to further the achievement of the school’s aims.
Draft and word-process letters, memos, reports and references as required, including confidential personnel correspondence.
Organise background papers for the Headteacher’s meetings including information retrieval and research using printed and internet sources
Manage the circulation of the headteacher’s internal and external correspondence, prioritising items for the headteacher’s attention and redistributing other items as appropriate.
Clerk SLT and other meetings as required, including the timely production and circulation of agendas and minutes. This will involve liaising with SLT members about priority of items and agenda timings as well as drafting agendas. Minutes need to be produced to a high standard and sensitive items need to be recorded appropriately and absolute confidentiality maintained. This will require some flexibility in working hours.
Make all necessary arrangements for meetings and training events including rooming, catering, travel and accommodation as appropriate.
Organise and maintain filing systems and data bases for the Headteacher.
Prepare and place purchase orders in accordance with audit procedures.
